This policy explains what personal data we collect, why, and what we do with it. We try to keep things simple and only collect what we need.
Who we are
Beckenham and Penge Repair Cafe CIC (registration number: 17536119) (“we”, “us”) runs community repair events where volunteers help fix household items. This policy covers the personal data we collect from visitors and volunteers in connection with those events.
What we collect
When you visit a Repair Cafe session, we may collect:
- Your name
- Your email address
- Your phone number
We collect this on a digital form at the event, alongside details of the item you’ve brought for repair. In some cases when we are busy, we collect your mobile phone number on paper so we can call you back when we have capacity to help you.
On this website, we have forms which enable you to donate to support our work, and to join our email interest list. These collect your name and email address. We do not use cookies on this website to identify you, though third party services we use may set their own cookies. Please refer to their privacy policies for details about how to opt out.
Why we collect it
We use your personal data for the following purposes:
- Sending you a copy of our Repair Cafe rules — which you agree to by taking part in a session (legal basis: consent).
- Letting you know the outcome of a PAT (Portable Appliance Testing) safety test on your item, where applicable — we’re required to do this under the terms of our insurance (legal basis: legitimate interest).
- Emailing you about future Repair Cafe events, but only if you’ve told us you’d like to hear from us (legal basis: consent). You can opt out at any time by contacting us or unsubscribing from any email.
- Processing and confirming an online donation you choose to make to the Repair Cafe via this website
We don’t sell your personal data, and we don’t use it for anything beyond the purposes above.
Repair data
We keep anonymised data about the repairs carried out at our events (for example, item type, outcome, and category of fault). We share this anonymised data with third parties, such as the Restart Project or similar repair networks, to help track the impact of the repair movement. We may also share with our funders. This data does not include your name or contact details.
Cookies
Our website does not currently set cookies.
Sharing your data
We don’t share your personal data (name, email, phone number) with third parties, except where we’re required to by law.
We use some third party data processors under contract to us to help manage our data. These currently include:
- Brevo: to send you emails about your repair, and if you request it, about future events
How long we keep it
We keep your contact details only for as long as needed to complete any follow-up (such as a PAT test result or adding you to our information email list), and then delete them, for a maximum of 3 years. Anonymised repair data may be kept indefinitely, as it does not identify you.
Your rights
Under UK GDPR, you have the right to:
- Ask what personal data we hold about you
- Ask us to correct or delete it
- Ask us to stop processing it
To do any of this, contact us at hello@beckenhampengerepaircafe.uk.
Complaints
If you’re unhappy with how we’ve handled your data, you can contact the Information Commissioner’s Office (ICO) at ico.org.uk.
Changes to this policy
We may update this policy from time to time. The latest version will always be available on our website.
